Notion for a small business: build a CRM-to-project handover
Build a practical Notion business workspace for projects, CRM, documentation and team operations, with setup steps, permissions and automation checks.

A business workspace usually becomes difficult before it becomes large. The proposal is in one person's notes, the delivery checklist is in a chat, and nobody is quite sure which version of the process is current. Notion can connect that work, provided someone owns the system and the team agrees where decisions belong.
Start with a small operating workspace: customers, projects, tasks and a company handbook. Add complexity only when a real handoff fails. A beautifully organized workspace that needs a full-time caretaker is a poor result for a five-person business.
Build around one complete customer journey
Consider a small design studio. A prospect asks for a website, accepts a proposal, becomes an active project and eventually receives the finished files. The useful question is whether a colleague can follow that journey without asking the founder for context.
Use four databases for the first version. These are proposed field names, not a claim that Notion supplies a finished business system out of the box.

A single customer record is enough for a simple pilot. Split companies, contacts and deals into separate databases when customers have several contacts or simultaneous opportunities. Otherwise the more elaborate model creates extra data entry without improving decisions.
Notion's relations and rollups connect records and summarize related properties. Connect each project to its customer and each task to its project. Avoid copying the customer's phone number into every project; repeated data eventually disagrees.
Make the next action visible
A sales board is useful only if an opportunity has an owner and a next action. “Interested” is a stage. “Send the revised scope on Tuesday” is work somebody can do.
Create a view for open opportunities with overdue next-action dates. In the delivery area, show active projects and tasks assigned to the person viewing the workspace. Keep completed work available without letting it dominate the home page. When a deal is won, the sales lead creates the project, relates it to the customer and adds a handover note: agreed scope, exclusions, promised date and the location of the accepted proposal. The delivery lead confirms the handover. That confirmation matters more than an automatic status change.
For a hypothetical Acme Bakery project, the handover note might say: “Five-page website; online shop excluded; first draft due 12 May; accepted proposal linked; client contact is Noor.” If the project owner cannot create the first three delivery tasks from that note, the CRM stage moved too early or the opportunity record is missing a decision.
Now test an exception: the client asks to add a shop after the handover. The delivery owner records the request against the same project, marks it as unapproved scope and assigns the commercial decision to the sales lead. The original exclusion stays visible until a new agreement replaces it. If staff silently change the task list and lose that distinction, fix the handover process before automating it. This is a proposed workflow, not a built-in approval guarantee.

Choose a dedicated CRM before extending the workspace when the business needs reliable email capture, complex permissions, forecasting or a detailed sales audit trail. Compare a dedicated system such as Zoho CRM before rebuilding those functions yourself.
Treat permissions as part of the design
Keep the company home simple: links to current work, the handbook and the responsible people. Put commercially sensitive records in deliberately restricted areas. A filtered view is a convenience for navigating data; do not assume it is an access-control boundary.
Before inviting a client, review Notion's sharing and permissions documentation and inspect the actual page's access settings. Test with a separate guest account. Check both what the guest can open and what they can edit, including linked records and attachments.
Do not put passwords, payment-card data or an informal employee medical record into a convenient general-purpose page. Store sensitive information in the system chosen for that purpose, then link to the appropriate process rather than duplicating the data.
Write a handbook people can use during work
A useful procedure answers four questions: what starts the process, who acts, what they do and what proves it is finished. “Client onboarding” should include the handover checklist and a completed example, rather than a page explaining why onboarding matters.
Give every procedure an owner and review date. If a support colleague finds an outdated step, they should know who can approve the correction. Archive superseded instructions so search does not return two competing answers.
Keep large working files and final deliverables in the team's file-management system. The Dropbox business guide explains one possible arrangement. Notion can hold context and links while the file system owns versions and delivery.
Automate a stable process, one step at a time
Notion's database automation documentation makes plan and permission requirements explicit. Check the current plan page before budgeting for automations or AI; prices, billing terms and included allowances vary. AI access and additional agent usage should not be treated as an unlimited entitlement.
To build the proposed notification, a paid-plan user with full database access can open the database’s lightning-bolt menu, create an automation, choose the project-status change as the trigger and add a notification action. Test it with one project and recipient before enabling wider use. Notion also says database automations do not trigger other database automations, so do not design a chain that depends on that behavior.
For the studio, start with a notification when a project is ready for delivery review. Keep creation of the project and approval of the scope manual until the team consistently enters the required information. An automation should have an owner, an observable result and a way to recover when it fails.

A two-week rollout that reveals the real problems
In the first week, enter three real projects and five opportunities. Assign owners, test guest access and run one sales-to-delivery handover. Ask the team to record missing information rather than immediately adding more fields.
In the second week, hold a short review: which actions were missed, where was information duplicated, and which pages were never used? Remove fields nobody relies on. Fix one broken handoff. Then document the routine for adding customers, closing projects and reviewing procedures.
The workspace is ready to expand when a colleague can find the next action and complete a handover without the person who built it. That is a better success measure than the number of templates installed.

- Fix first when people still ask the founder where proposals, decisions or current procedures live.
