Most Notion workspaces fail the same way: they start as one beautiful page and become a place where information goes to be forgotten. The difference is almost always the database design underneath.

The problem is never Notion. It's the schema
A workspace that people abandon almost always has the same shape: a lot of pages, a lot of nesting, and databases that were added later to hold whatever the pages could not. Finding anything means remembering where someone put it, so people stop looking and start asking each other instead — which is the thing the workspace was supposed to replace.
A workspace that survives is the other way round. A small number of databases holding the things the business actually has — clients, projects, tasks, content, deals — and pages that are views onto them. Nothing is stored twice. A task belongs to a project because of a relation, not because someone typed the project name into a heading.
That distinction is most of the work, and it is why a two-day setup and a two-week setup produce such different outcomes six months later. The first one looks better on day one.

Notion consulting
Working out what the workspace is for before anything is built — what it has to replace, who maintains it, and which parts of the business genuinely belong in it. Some things should stay in the tool they are already in.
Company operating systems
The whole business in one workspace: clients, projects, delivery, content, hiring and the documentation that ties them together. Built as one connected system rather than six unrelated sections.
Database design
The relations, rollups and formulas that make a workspace queryable instead of merely tidy. This is the part that decides whether it still works when there are two thousand rows in it.
Dashboards and views
One place per person that answers what is mine, what is late, what is next. Filtered views onto shared data, not separate copies that drift apart.
Workflow design
Intake, handoffs, statuses and approvals modelled as they actually happen — including the step everyone works around, which is usually the one worth fixing.
Where it genuinely helps — summarising long threads, drafting from context the workspace already holds, and Q&A across documents nobody has time to read.
Connecting Notion to the systems the work already lives in, so the workspace reflects reality without anyone maintaining it by hand.
Product pipelines, launch checklists, supplier records and content calendars for stores that run on Shopify — the operational layer a storefront does not provide.
Migration and training
Moving from Trello, Airtable, Sheets or an older workspace without losing history, then teaching the team to run it — because an unowned workspace decays quietly.
Notion AI, honestly
Notion AI is genuinely useful for three things: summarising a long thread or document, drafting from context that already lives in the workspace, and answering questions across pages nobody has time to read end to end. Those are real time savings and they need no setup.
What it does not do is fix a badly structured workspace. Q&A over a workspace where the same information exists in four places will confidently answer from whichever one it finds, and there is no way to tell from the answer which that was. Structure first, then AI on top of it.
Where a workflow needs judgement applied at volume — classify these, route those, draft a reply to each — that is usually better built as automation against the Notion API than done inside the page, because you can evaluate it and see when it is wrong.

How a build runs
Map what the business has
The nouns — clients, projects, tasks, content, deals — and how they relate. This becomes the schema, and it is agreed before anything is built.
Build the databases first
Relations, rollups and the formulas that will carry the weight. Pages come after, as views onto them.
Migrate real data
From Trello, Airtable, Sheets or an older workspace, with history intact. A system tested on three sample rows is not tested.
Automate what should not be manual
The updates and handoffs that would otherwise rely on someone remembering.
Train and hand over
Live sessions with the people who will run it, and documentation that outlives them. A workspace nobody owns degrades within a quarter.
Common questions
How long does a Notion project take?
A focused setup is usually 3–5 days. A full company operating system is more often 7–12, depending on how many parts of the business go in and how much existing data has to be migrated.
Can you migrate our data from Trello, Airtable or Sheets?
Yes — that is part of the work, not an add-on. Migration is also where most of the schema problems surface, which is why it happens early rather than at the end.
Will you train the team?
Yes, live rather than by handing over a document. The people who will actually run the workspace need to have used it with their own data before the engagement ends.
Do you offer support after handover?
Yes. There is a support window on every engagement for troubleshooting and adjustments once real use exposes the things a build never does.
Is Notion AI worth paying for?
For summarising, drafting and Q&A across a workspace, often yes. It is not a fix for a badly structured workspace, and it will answer confidently from duplicated information. I have written up how the plans compare rather than asking you to take a view on trust.
Should everything go into Notion?
No, and that is usually the first thing worth saying. Notion is poor at anything needing real transactional integrity or heavy computation. Where a dedicated tool already fits, the useful work is connecting it rather than replacing it.
