Calendly
Scheduling links that kill the back-and-forth.
Overview
Calendly is the scheduling tool that made "send me your link" normal: a booking page that reads your connected calendars, offers the slots you allow, and creates the meeting with reminders, video links and follow-ups. It has grown from a single-person link into team scheduling with round-robin, routing forms and CRM integrations.
Where it fits in my work
A scheduling link belongs at the moment a lead becomes a conversation: the end of a contact form, the signature of a proposal email, the "book a call" button on a site like this one. Calendly's job is to remove the three-message dance about times, and to make the booked call arrive with the context already collected — what the project is, what the budget range is, where they found you. On client projects that sell consultations or demos, the round-robin and routing features are what turn a booking page into a sales process. For my own calendar I keep things simple with HEY Calendar ; Calendly earns its seat when a team or a funnel is involved.
Key features
Booking pages with availability rules, buffers and time-zone handling Multiple calendar connections and conflict checking Round-robin, collective and managed event types for teams Routing forms that qualify leads and send them to the right person Payments via Stripe and PayPal; reminders, workflows and follow-ups Integrations with HubSpot, Salesforce, Mailchimp, Zoom, Slack and more
Best for
Sales, success and consulting teams that book a lot of external meetings, and any business selling time. A solo operator with a light calendar can get by with the Free plan or a calendar's built-in booking page.
Where it fits in my stack
Calendly → HubSpot for the CRM record the booking creates, n8n when a booking should trigger something custom, Basecamp once the call turns into a project.
Pros
The standard — people know how to use a Calendly link Strong team scheduling and lead routing Good free plan for one event type Deep integrations with the tools around a sales process
Limitations
Per-seat pricing adds up for teams that only need a few links Google, Microsoft and HEY now include basic booking pages for free Branding and customisation are modest on lower plans Add-ons (AI notetaker) cost extra
Pricing
As listed on calendly.com/pricing: Free (one event type, one calendar connection); Standard at $10 per seat per month billed monthly (17% less annually) with unlimited event types, automations and payments; Teams at $16 per seat per month billed monthly (20% less annually) with round-robin, routing and Salesforce; Enterprise from $15,000 a year with a 50-seat minimum. Check the official pricing page .
Verdict
Calendly is worth paying for when scheduling is part of a sales process rather than a personal convenience. For a solo calendar, the free plan — or your calendar's own booking page — is enough.
